City-based bookings like this one are charged per calendar day plus driver allowance rather than per kilometre, because the vehicle is committed to you for the day whether it covers thirty kilometres or three hundred. Questions we get asked

Will the driver meet our client inside the airport?

Yes. For client-facing bookings the driver waits at arrivals with a name board rather than in the car park, and is dispatched against the live flight arrival time so a delay does not leave your visitor unmet.

Should we book an Urbania for just four visitors?

For a client visit, yes, and it is the one case where we recommend spending above the headcount. Four visitors in a ten-seater Urbania with recliners and standing headroom reflects differently on you than four visitors in a Tempo Traveller, and the difference in cost across one day is small.

What happens if the meetings run late?

Nothing, in billing terms. Client-visit bookings are charged per calendar day plus bata, so the vehicle staying two hours longer than planned does not change the invoice. Waiting charges apply to hourly bookings, which is not how we would quote this.

Can you bill this monthly along with our other bookings?

Yes. Companies with regular visitor traffic usually move to a monthly account — one consolidated GST invoice, agreed rates on your usual routes, and a familiar set of drivers. It removes the per-trip approval loop, which most travel desks find is the expensive part.

One last thing

Two small things that cost nothing and are noticed every time: tell us the visitors' names so the board is correct and spelled right, and tell us if anyone in the delegation is vegetarian or does not drink, so the driver's restaurant suggestions on the way to dinner are useful rather than awkward.
